How to create and use report specific filters

Vizubi allows users to apply filters to all of the reports in a workbook or to single reports. Report specific filters lock the report from global filters which are applied to fields which are in the report specific filter. For example if you create a report with a report specific filter for Canada in the Country field, a global filter for Japan would not be applied to that report while a global filter for Red in the Product Color field would be applied to that report. In this tutorial you will learn how to create and use report specific filters.

This type of filter is useful when you want to apply a filter to a single report without filtering the other reports in your workbook to compare the results of a report with different filters applied.

Load the FiltersDemo.ndb

Open the Vizubi database called “FiltersDemo.ndb” that you can download here.

Open Excel.

(1) Click on the Vizubi tab.

(2) Click on the Open button in the Database group of the ribbon.

(3) Browse until you find “FiltersDemo.ndb”.

(4) Select “FiltersDemo.ndb”.

(5) Click on the Open button to load the file.

Open the rpt_Country report twice in the same worksheet

(1) Position your mouse in cell a1 and click on the upper part of the Report button in the Reports group of the ribbon. The Select report window opens.

(2) Double click on the rpt_Country report.

(3) Position your mouse in cell d1 and open the same report again.

Apply a filter

(1) Click on the Filter Data button in the Selections group of the ribbon. The filters window opens.

(2) Click on the Add filter button. The Search window opens.

(3) Find and click on the ProductName field.

(4) Select Aino Shoes.

(5) Click on the Add button.

(6) Click on Close in the Search window.

Make a report specific filter

The filter has been applied to both the reports. Your cursor should still be in cell d1.

(1) The report to the right is the active one.

To make a report specific filter:

(2) Right click on the filter value (Aino Shoes) in the Filters window and click on Apply to This Report.

Now there are two different filters shown in the Filters window; both of them filter for the same value of the same field.

(1) The first one is the specific filter applied to the active report (you can recognize it because it has a small filter icon to the right of ProductName).

(2) The second one is the generic filter applied to all the reports.

(3) Close the Filters window.

(1) Click on the Customize button in the Reports group of the ribbon to close the panel on the right.

(2) Click on the Filter Box button in the Panels group of the ribbon.

(3) The Filter Box shows all the filters applied to the active report: both the specific filter and the generic filter.

(1) Click on the report to the left.

(2) The Filter Box shows all the filters applied to the active report: in this case the box shows only the generic filter. No specific filters have been applied.

(3) Click on the Clear button in the Selections group of the ribbon.

Removing filters with the Clear function

The Clear button removes only the generic filters. Specific filters remain active.

(1) Removing the generic filter, the report on the left has no filter applied: the filter box is empty.

(2) Clicking anywhere in the report to the right, it has the report specific filter still active: the ProductName filter is visible in the Filter Box.

Save the filtered report

When you save a report which has report specific filters active, they will be saved with the report. If you save the workbook and save it, the next time you open the workbook, that report on that worksheet will still have the filter applied.

(1) Click on the Save as button in the Reports group of the ribbon.

(2) Insert rpt_Aino_Shoes_sales in the Name box.

(3) Click on OK to confirm savings.

(4) Click anywhere in the report on the right.

NB: Try to close and re-open the rpt_Aino_Shoes_sales report (click on close in the Reports group of the ribbon). The specific filters applied to the report are saved with the report.

Applying reports specific filters to multiple reports

You can apply report specific filters to multiple reports. Remember that if you create a global filter, it will not be applied to reports with report specific filters for that field. In this case, the filter on Lace Shoes is not applied to the report on the right because it already has a report specific filter on the product name field.

(1) Click on the Filter Data button in the Selections group of the ribbon. The filters window opens.

(2) Click on the Add filter button. The Search window opens.

(3) Find and click on the ProductName field.

(4) Select Lace Shoes.

(5) Click on the Add button.

(6) Click on Close in the Search window.

(7) Click on Close in the Filters window.

Now the Filter box shows the filter applied. As above, you can apply this new filter exclusively to the active report (the left one). You can do this directly from the Filter Box.

(1) Right click on the filter then click on Apply to This Report.

(2) The second one is the generic filter applied to all the reports.

(3) Click on the Clear button in the Selections group of the ribbon to remove the generic filter. This will leave the report specific filter active.

Apply additional filters

As shown you can apply additional filters, both specific and generic, to compare and analyze data easily, without detaching reports.

For example you can now add a generic Month filter to compare the sales in the same period for the two different products (Aino and Lace Shoes).

If you want to remove specific filters:

(1) Click anywhere on the report from which you want to remove the specific filter.

(2) Right click on the filter in the Filter Box.

(3) Click on Clear.

You can also remove the filter in the same way using the Filter Data button in the ribbon.

Creating and using blank report specific filters

You can create report specific filters with no values. When a report specific filter with no values in it is applied to a report, filtering on that field will be blocked for that report. This is useful when you want to apply a filter to a group of reports without having that filter affect some of those reports.

(1) Right click on the filter in the Filter Box.

(2) Click on Apply to this Report.

(3) Clear the values from the report specific filter.
