We continue to improve and add to our Vizubi functions

The GetVizubiData e GetVizubiFieldValues functions have both been improved

GetVizubiData and GetVizubiFieldValues can now return multiple values; output can be put into a row or a column by putting the function in adjacent cells in the worksheet and using an array formula. Output will be ordered using the ordering used in the report.

Use totals in calculated expressions

You can now add calculated columns to reports which use totals from columns in the report in their formulas. This lets you calculate percent of totals using the a/total(a) formula.

Choose which columns to load when creating linked tables

When you create a linked table, you can now choose to load only some of the columns from the table. The “Create Linked Table” button gets renamed to “Manage Linked Table” after you have already loaded your Excel table and can be used to load or modify a reload of a linked table.

New personalized parameters for ‘Null Symbol’ and ‘Missing Symbol’

In the report section of Vizubi Options, there is a new group of parameters called ‘Default symbols’ which will be shown as output from the GetVizubiData and GetVizubiDataRow formulas:

  • ‘Null Symbol’ –> the text string which will be shown for null output
  • ‘Missing Symbol’ –> the text string which will be shown if no output exists

Both are blank by default.

PowerPivot for Excel 2007? Our Thoughts…

Rob,

I read your post with great interest and I too was surprised by some of the answers. Among other things, I’m running a survey on uptake of Office 2010 and specifically whether PowerPivot is pushing people to upgrade to Office 2010; the survey has yielded some unanticipated results http://bit.ly/Office_2010_Adoption. Once we’ve got statistically significant numbers we will publish them on our blog (http://vizubi.com/blog/).

The first thing I noticed was the difference between perceived cost customers have from the official Microsoft literature; total cost of ownership is actually quite high for a project which takes full advantage of PowerPivot’s strong sharing and data management features.

Second, the idea of proposing mixed versions of Office within the same organization, while it clearly lowers the cost of licenses might actually raise total cost of ownership because systems administrators/IT would have to maintain both versions; I know people who were in this situation and in the end they found it cheaper to upgrade all users despite training and license costs.

Finally, saving data to an Excel file, while it is clearly more convenient for users seems to create a whole series of other problems linked to data consistency which is one of the great issues surrounding the use of Excel. It seems to me that the advantages of having a data file which is not in the .XLSX but accessible from Excel are quite important (IT can control of data consistency, reliability and freshness). Having an external file with the data would allow multiple users to access the same data through the Excel interface. If the Excel file is then “linked” to the external data file then the issue of having to open two files is solved; clearly when users are not “online” then they would still have to take two files with them instead of just one.

I think that the PowerPivot engine is incredibly powerful but I do think that taking advantage of the engine is both expensive and a potential source of the same “spreadmart” issue that Excel faces.

Excel dashboards; you love them, you hate them, you need them.

In Vizubi 1.20 we’ve added features which let you create sophisticated Excel dashboards. These new features mean that not only can you continue to use Vizubi for analysis and discovery on large data sets in Excel, but now you can present your findings through dynamic, easy to read dashboards.

Here’s a list of the new features with a brief description of each one: for details on syntax and samples, check them out in the Vizubi help file installed with Vizubi.

  • GetVizubiData(Data_Field;Report [;Field1;Item1 [;Field2;Item2 [;Field3;...]]]) Using the values in up to five columns in a row in your report, this function extracts the value of the measure in that row. For example if you create Report1 which has sales by country and city, you could extract the sales for: Report1; Sales; Country; Canada; City; Vancouver which would populate the cell with sales for the city of Vancouver.
  • GetVizubiRowData(Data_Field;Report;Data_Row) This function will return the value of a field you specify which is in a specific row of a report. If you order your report by sales (for instance), you can use this feature to create a list of top ten (or bottom ten) customers, products, cities etcetera.
  • GetVizubiFilters() This function populates a single cell with all of the fields and field values of the filters applied to a workbook (NB: report specific filters will not be listed).
  • GetVizubiFieldValues(Field [,Status [,Filter [,Sort]]]) This function populates a single cell with the field names and values in a filter; you can set the function parameters to show values of a field which are: selected, selected and included, selected and excluded, possible or excluded.
  • GetVizubiVariableValue(Variable [,Type]) This formula will populate a cell with the value of a time dimension; this can return the value for “now”, “This Year” and “Previous Year”

All of the formulas have specific error messages which are useful when debugging your dashboard.

Additional improvements

You thought that was all; think again.
The dev team has been working 22/8 (22 days a month 8 hours a day) to get you the Vizubi you need.

  • now you can clone and eliminate slicers and panels linked to time dimensions.
  • better usability of the interface Custom names are propagated on the fly
  • Expressions can be cloned; really useful when setting up TY vs LY comparisons
  • You can change the field in an expression right in the report, reusing all the settings you used rather than having to create one from scratch.

Fixed a few minor bug just for the fun of it. Thanks for all of you who sent us bug reports.

I’ve got to admit that when I first heard about Vizubi and I figured out it let users do Business Intelligence inside Excel I got goosebumps (and not in a good way).
Like most IT managers, I normally associate Microsoft tools to total data anarchy, liberty for all and truth for none, to blue screens and the uncontrollable explosion of dimensions. I think of the hours spent trying to recover data, racing to “secure” data and logic hard wired through years of Excel spreadsheets which have now become mission critical and therefore need to be centralized.
Even if none of the visions of the apocalypse I described above were to become reality, sooner or later Excel just can’t handle the load that users put on it and therefore the need arises to create and maintain macro on top of macro on top of macro (I call it the Big Mac-ro).

So long story short, when I think about spreadsheets, implicitly I envision having to pick up the pieces.

At least until now.

What Syntes tried to tackle was how to satisfy the two seemingly opposing requirements of user on the one hand who value simplicity and IT on the other which is concerned with security and data consistency across users.

If Vizubi isn’t 100% on the mark, they’ve gotten pretty close.

In fact, with the Vizubi project, Syntes is developing a series of features which allow users to manage data inside Excel. Spreadsheets, in fact, have everything that users need to manage numbers and show analyses from these numbers. What is missing is a single repository from which to get data so that users can’t modify them by mistake (or by mistake on purpose…). What’s missing is data consistency and guidelines.

A local database was created (based on a columnar model of data storage) with connectors to various data sources which include other databases as well as Excel workbooks, text files etctetera. Vizubi is the only product (other than QlikView) that can read files in .qvd format (QlikView data files)
The thing that distinguishes Vizubi from other products is ease of use and the Excel centric philosophy; users should be able to do everything.
Even data import is an activity which does not require users to have systems or programming capabilities. Thanks to the use of templates, wizards and drag and drop functionality, it is possible to create a business intelligence program even if one is not a programmer taking into consideration, obviously, that what you are doing is business intelligence analysis.

Launch Excel and click on the Vizubi tab and start importing data using the data import wizard which guides users in preparing data for analysis. Forget about SQL queries; it’s all visual including the creation/modification of dimensions of the data cloud (the technique Vizubi uses rather than classic OLAP cubes) which will be the basis for reports and graphics. In particular it is important to note that time dimensions are managed automatically by the product obviating the need for repetitive and error prone tasks on the part of the user.

Once I’ve prepared my data, I’m in Excel so I can use templates, filters, graphics and formulas, add and remove columns; it feels like a a normal spreadsheet with static data. But actually the data is dynamic; every action is actually carried out at the level of the Vizubi DB and on the definition of the data structure. Ease of use (anyone who uses Excel can do BI analyses) and data consistency (Vizubi maintains its data aligned with the source data).

How is Vizubi meant to work?

Let’s not forget that it’s based on the Excel workbooks which are on the local machine on which you are doing your analysis. I can imagine putting Vizubi database files on a network drive but access is exclusive; only a single user can access the file at one time.

Clearly considering the architecture and price point Vizubi is not meant to manage the data of a large multi-national but it works well at the department level. A few users who need to create a data structure and analyze data and many users who need to consume the output. In a sort of client server environment.

So let’s think about a complex office; how could we manage that? Easy. Vizubi can import data from other Vizubi databases!
I can create hierarchical centralized data marts which aggregate portions of enterprise databases at multiple levels to create an enterprise wide vision.

Here’s a concrete example:
• Giovanni creates sales reports and analyses; Marco does the same for purchases and Luca on production flows. Each has a personal Vizubi database which loads data from portions of the enterprise IT system.
• Michele needs to monitor production from components to shipping. His datamart is built from the Vizubi database which is used by Giovanni, Marco and Luca.
• And on and on for cost of quality, R&D down to financials. In this way each user can work without slowing down anyone else.

This is for those who need to product analyses. For consumers of analyses, there are a series of possibilities. I can share static Excel worksheets based on Vizubi data, or I can share workbooks plus data for those who need to navigate reports dynamically. There are also Vizubi APIs being developed to allow other applications to use the Vizubi engine. This could further simplify the scenarios I just described.

Search for Fields when creating reports

An incremental search feature has been added to the Customize Reports window. Just type in a few letters of the field or group you are looking for and the list will be filtered for fields and groups which contain those letters. If you type in the entire name and hit enter, the field or group will be added to your report.

Creation of time dimensions improved

When you create a new time dimension, you can now add the date-time field to your formula by selecting from a list of fields in the database. The Verify Formula button can then check to ensure that the formula is correct.

Import formats maintained during session

When importing data, the most recent data formats used are set as default. This means that if you import multiple tables or files which have custom formats, these will continue to be set as default so that you don’t have to set them for each import. If you modify them during the session, to import data with a different format, then the new formats will be set as default.

The maximum amount of data allowed in a report is Excel version sensitive

In previous versions of Vizubi, the maximum number of rows and columns allowed in a report was set to 65,536 and 256 respectively because these are the limitations of Excel 2003. Now, if you are using Excel 2007 or 2010, the maximum number of rows and columns allowed in a report is set to 1.048.576 and 16.384 respectively. If your report has more data than allowed by your version of Excel, you will see a warning which says “Warning: Too many rows or columns. Add more filters or change the max rows option”.

Skip row when importing text files now eliminates unwanted rows above and below headers

If you import data from a text file and there are separators above and below the headers. You can use skip row to skip first the row(s) in the file. You can use “Skip the first N rows” to skip the rows immediately below the column headers.

How to add selections to filters and propagate them to the opened report

Summary

This tutorial demonstrates how to open a Vizubi Database and view a Vizubi Report. You can also learn how to add to filters the selections in the GridView component and show apply them to the report opened.

Using the Sample Application

Let’s get started by looking at the sample application that is supplied with this tutorial.

First, we will need to ensure that your machine has all of the necessary prerequisites:

- You will need to have Visual Studio 2005 or Visual Basic 2010 Express installed.

- You will also need to install Vizubi API Setup latest version

After installing the prerequisites, unzip the sample files to a directory on your local hard disk.

Now, we’re ready to walk through the sample.

For a complete management of filters selection by selection status (selected, selected excluded, excluded) you have to use the IVizubiSearchForResult interface.

This project show all the values added to filters without categorize them.

PowerPivot Time Intelligence Functions vs. Vizubi Time Dimensions

Thanks for your post [http://www.powerpivotblog.nl/why-use-the-powerpivot-time-intel-golden-rules-with-examples] which does a great job outlining all the rules to follow when setting up a dataset to do time analyses with PowerPivot.

I’ve got to admit that I think many of the masses will find that this is pushing their IT skills to the limit.

We’ve got a bit of a different philosophy which is keep it simple on the outside and complex on the inside. Vizubi can create time dimensions automatically from any column which has date information. Time dimensions automatically contain a series of time ranges (this year, this quarter, last year do date…) which can be augmented using a simple syntax to add additional ranges (fiscal year…).

Users can choose which time dimensions to create, and when data is updated, the automatically linked time dimension table is updated as well. But seeing is believing; check out these quick videos to see how it works. [http://www.youtube.com/watch?v=1TKaHz8LlVA]

When you open a Vizubi database, the software automatically checks to see if there is a new version available (you must be online). The first image shows you what you will see when you open a Vizubi DB and a new version is available. If you click on the “More information…” button, you will go to the blog post about the most recent version of Vizubi. The “Download” button downloads the setup file which will install the most recent version (pretty tricky huh…). If you are testing the Vizubi API, don’t click on the download button as this version does not have the API (use the links we sent you via e-mail which will always download the most updated setup with API). Once there is an official release of the API, it will be integrated in the regular setup file. If you click on “Later”, to close the window without updating Vizubi (you will be notified the next day you open a Vizubi database). If you don’t want to be notified about the release of a the new version, click Options>Resources from the Vizubi tab in Excel and deselect “Check to see if there is a more recent version of Vizubi” (see the second image).Dear Vizubinauts,

The first image shows you what you will see when you open a Vizubi DB and a new version is available. If you click on the “More information…” button, you will go to the blog post about the most recent version of Vizubi. The “Download” button downloads the setup file which will install the most recent version (pretty tricky huh…). If you are testing the Vizubi API, don’t click on the download button as this version does not have the API (use the links we sent you via e-mail which will always download the most updated setup with API). Once there is an official release of the API, it will be integrated in the regular setup file. If you click on “Later”, to close the window without updating Vizubi (you will be notified the next day you open a Vizubi database). If you don’t want to be notified about the release of a the new version, click Options>Resources from the Vizubi tab in Excel and deselect “Check to see if there is a more recent version of Vizubi” (see the second image).

Vizubi lets you import data from lots of different types of sources but typically, you need to import data from the same databases over and over. In previous versions of Vizubi you had to create connections each time you started a new session; it is now possible to save and reuse database connections. This means that if you need to import additional data from the same database you don’t have to re-create the import parameters. You spend less time importing and more time analyzing data. Connections you create are available even when creating a whole new Vizubi database, and when you start a new session. You can also modify connections so that you can get data from a different database which is stored on the same server.

When you import data, it is now possible to change data formats during the data preview stage of the process. This means that if you are importing data from a data source which uses formats which are different from those in your computer’s regional settings or those you have created for Vizubi, you will still be able to import the data as the correct type. You can either select from one of dozens of pre-configured regional settings or you can create custom settings for pretty much any data format.

Improved Options Panel

The Options Panel is now in a more familiar Excel like format and similar parameters are grouped together. It is now possible to insert network parameters if you are behind a firewall and you need to input a userid and password (this is only used for product authentication and registration).
